Wiwynn · SAP Ariba procure-to-pay and global rollout

Background: procurement systems were spread across the headquarters and global subsidiaries, with no single platform or shared reporting standard for procurement execution.

Approach: we ran an Ariba procure-to-pay (P2P) programme covering end-to-end operational procurement, the procure-to-pay solution and master data integration, delivered customised reports and supported the Ariba global rollout. For scenarios that Ariba standard interfaces do not cover, a custom program on the third-party system extracts HR user data, generates a CSV file that Ariba can receive, and pushes it to Ariba via ITK.

Results: after phase one the headquarters and global subsidiaries share one procurement system, with management monitoring fully online; single sign-on and ERP integration are in place; HR user data is synchronised with Ariba, supporting a successful go-live. Real-time budget checking and alerting are planned next.

An international automotive brand in China · system migration and collaboration platform

Background: business and finance data sat in several systems, and daily approvals and collaboration depended on offline routing, which consumed significant business team effort.

Approach: first, the IMS → SAP SPM@DPTS migration covering EWM warehouse management, CRM scenario process management and SPM finance data integration, followed by ongoing operations support and support for the second-phase go-live. Second, an enterprise SharePoint collaboration platform that moved processes such as company seal use, delegated approval requests, payment approval, service receipt confirmation and issue collection online, with permission control and content management.

Results: business and finance data are integrated, the time business staff spend handling data manually is reduced, and the SAP SPM second phase went live on schedule. The collaboration platform shares information and updates processes in real time, with approval progress visible and office efficiency improved.

MANN+HUMMEL · negotiation and FAQ chatbots

Background: long-tail spend was not being negotiated, and answering recurring employee questions consumed a large part of the procurement team's capacity.

Approach: we built on our standard chatbot products with further development and tuning to create a negotiation bot and a FAQ bot; deployment was completed in October 2022 and rolled out globally across the group, live in the United States, Mexico and parts of Europe.

Results: the negotiation bot negotiates long-tail prices instead of people, with 7×24 response and multiple languages — more than 300 negotiations to date and up to 20% price reduction; the FAQ bot handled more than 700 conversations, independently resolving 95% of common questions.

Background: this world-class broadband equipment manufacturer, founded in 1992, needed its global quotation and negotiation process online and connected to its existing non-SAP systems.

Approach: we defined the global Ariba strategic sourcing deployment and rollout plan covering direct and indirect materials with customised templates and processes; a third-party non-SAP system raises RFQs through Ariba; R&D specification clean-up and procurement enquiry collaboration keep engineering and procurement in one flow.

Results: quotation and negotiation for electronic and mechanical parts run fully online, with quotations, attachments and communication records traceable. Phase I piloted general electronic parts plus mechanical parts, cables and packaging, then extended to electromechanical and module parts, power supplies, RLC, connectors, PCBs and key parts.

Approach: we built and connected OA, WeCom, SAP ERP and SAP Ariba, replaced paper approvals with online approval, and integrated the traceability system with ERP; Ariba handles online enquiries, and award results are returned to ERP to create contracts, closing the loop.

Results: approvals and enquiries run online, the data chain across systems is connected, and the process from enquiry to contract creation forms a complete loop.

Background: before go-live, the client's procurement programme needed external consultants on site at headquarters and in the regions, working alongside internal teams on user acceptance testing.

Approach: our consultant worked on site at the client's Beijing headquarters on day-to-day programme delivery, and travelled to Shenzhen in March 2024 to support the procurement team's UAT on site.

Results: working on site alongside the client's procurement and IT teams supported completion of the pre-go-live user acceptance testing as planned.

Background: the client's existing EBP system could not support its division's procurement scenarios, and the client also wanted to connect to European e-commerce platforms — a platform concept that could be replicated across countries.

Approach: we provided our global implementation methodology and pre-sales consulting support: reviewing procurement policies and processes, delivering product introduction and demos in German and Italian, and defining a multi-country European rollout plan; the Ariba rollout for the client's newly acquired Italian plant was delivered by the apsolut European team.

Results: the first step went live in Europe, with further regions to follow per plan.

Background: the second milestone of this company's procurement digitalisation programme: after the Ariba S2C strategic procurement module went live, the next step was to move procurement execution online.

Approach: we deployed the main processes and business scenarios of the Ariba Procurement (P2P) module — connecting requirement submission, requirement approval and re-assignment, sourcing / contracts / purchase requisitions, purchase order issue, catalogue marketplace ordering, goods receipt, system reconciliation and invoice management, with data synchronisation across the OA, Ariba and SAP systems.

Results: the Ariba P2P module went live on 30 June 2025, together with catalogue marketplace ordering and joint direct-procurement ordering, completing the procurement execution chain.

Background: direct and indirect suppliers were managed separately, sourcing ran offline, and contract templates lacked central maintenance and updating.

Approach: an SRM system built around Ariba Sourcing for strategic sourcing and Supplier Management for the full supplier lifecycle: direct and indirect suppliers managed in one lifecycle framework, all sourcing scenarios moved online, and a global contract template library established and kept up to date. The project integrated four non-SAP systems, with a middleware platform keeping the data chain reliable.

Results: full business go-live on 12 February 2025; annual bidding run online through Ariba, with selected items reduced by 20%–30% in cost year on year.

Approach: the project covers Ariba Sourcing for online quotation and negotiation (RFI, RFP), sourcing template management and online supplier quotation interaction, together with Supplier Management for supplier classification, onboarding, registration and qualification. Suppliers answer questionnaires and upload documents through Business Network, and sourcing data is integrated and synchronised with SAP ERP.

Results: the cross-strait programme runs on an estimated 16 weeks (deployment) + 8 weeks (go-live support), with procurement collaboration efficiency expected to improve by more than 40% (a forecast, not a measured result).

Background

From a transaction platform to an AI-driven business network

SAP Ariba Business Network is a key network for business-to-business transactions and collaboration. SAP is migrating it to SAP BTP (Business Technology Platform) as the modern integration foundation connecting SAP and third-party systems.

After the migration, the platform provides the new SAP Fiori interface for a more consistent and intuitive experience; SAP is also gradually bringing Joule, AI Assistants and other intelligent capabilities into business scenarios via BTP.

Key changes

Clearer pages and stronger filtering reduce the number of steps. According to SAP internal testing, Guided Navigation delivers 45% faster document submission and 70% higher data accuracy.

BNOID and legal entity management

With the new BNOID and the organisation structure view, suppliers can identify legal entities, subsidiaries and business units more accurately, reducing misrouting and duplicate connections. The existing ANID is retained as the identifier for Business Network.

Business continuity

The migration happens mainly in the background. Suppliers keep using their existing account, ANID, catalog, documents and Buyer relationships, and do not need to re-establish existing Buyer connections.
